Privacy Policy

This policy explains what data BetterVisibility (“we”, “us”) collects when you use the Service, how we use it, and the choices you have.

1. Data we collect

  • Account data — name, email address, and profile image, provided through our authentication provider when you sign up.
  • Workspace data — projects, keywords, brand context, reply drafts and edits, notification preferences, API keys (stored hashed), and webhook configurations.
  • Billing data — plan and subscription status. Card details are collected and stored by Stripe, never by us.
  • Monitored content — public posts and comments from platforms such as Reddit and Hacker News that match your keywords, stored so we can show and score them for you.
  • Usage data — product analytics events (pages viewed, features used) and error reports, collected via PostHog to improve the Service.
  • Email engagement — a log of which lifecycle/notification emails we sent to your workspace, used to avoid duplicates and respect your preferences.

2. How we use data

  • To operate the Service: monitoring, AI scoring and drafting, notifications, and billing.
  • To send transactional and lifecycle email (every non-billing category has a one-click unsubscribe and can be disabled in Settings).
  • To understand product usage and fix errors.
  • We do not sell your data or use your private workspace content to train AI models.

3. Processors we rely on

We share data with a small set of processors, only as needed to run the Service:

  • Clerk — authentication and team management (account data).
  • Stripe — payments and subscriptions (billing data).
  • Anthropic — AI scoring and reply drafting (monitored content and your brand context are sent to the API; Anthropic does not train on API data by default).
  • Resend — transactional and notification email delivery.
  • PostHog — product analytics and error tracking.
  • Hosting infrastructure where the application and database run.

4. Retention and deletion

We keep workspace data for as long as your workspace exists. When you delete your workspace (or your organization is deleted in our authentication provider), we delete its projects, keywords, mentions, reply drafts, API keys, webhooks, settings, and email log, and cancel any active subscription. Backups roll off on a fixed schedule. You can also request deletion by emailing support@bettervisibility.co.

5. Your rights

Depending on where you live (e.g. under GDPR or CCPA), you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. Contact us at support@bettervisibility.co and we will respond within 30 days.

6. Security

Data is encrypted in transit. API keys are stored as one-way hashes, webhook payloads are signed, and access to production systems is restricted. No system is perfectly secure; if a breach affects your data we will notify you as required by law.

7. Cookies

We use cookies necessary for authentication and session management, and first-party analytics cookies via PostHog. We do not use third-party advertising cookies.

8. Children

The Service is not directed at children under 16 and we do not knowingly collect their data.

9. Changes

We may update this policy; material changes will be announced by email or in the app before they take effect.
